Payroll Specialist 

A SNAPSHOT OF YOUR ROLE 

The Payroll Specialist is responsible for assisting all internal and external Payroll–related matters. It also includes collecting and reviewing employee information and working hours, calculating wages, preparing and processing employee payments, and maintaining accurate payroll records in line with the formulation and execution of policies and procedures.   

As a Payroll Specialist, you are responsible for ensuring that all employment and personal information of employees are kept and handled in accordance with existing company policies on Information Security and Data Privacy. 

Payroll Specialist is responsible for all the Payroll Administration functions for the company, specifically the following:    

  • Process Payroll: Collect, review, and process payroll data, including hours worked, overtime, bonuses, commissions, and any other relevant payroll information. 
  • Maintain Employee Records: Update and maintain accurate employee payroll records, including personal information, tax withholding, benefits deductions, and attendance records. 
  • Calculate Wages and Deductions: Calculate wages, salaries, and deductions accurately based on relevant payroll laws, employment agreements, and company policies. 
  • Verify Timekeeping: Review and validate timekeeping records to ensure accuracy and resolve any discrepancies or issues. 
  • Tax Compliance: Ensure compliance with federal, state, and local payroll tax regulations by calculating and remitting payroll taxes, preparing tax reports, and filing tax forms accurately and timely. 
  • Benefit Administration: Administer employee benefits programs, including health insurance, retirement plans, and other voluntary deductions. 
  • Resolve Payroll Issues: Investigate and resolve any payroll-related inquiries, discrepancies, or issues raised by employees or management. 
  • Record Keeping: Maintain proper documentation and records related to payroll, such as payroll reports, tax filings, and employee payroll files. 
  • Stay Updated: Keep abreast of changes in payroll laws, regulations, and industry best practices to ensure compliance and make recommendations for process improvements. 
  • Process Improvements: Identify opportunities for process improvements and automation to enhance payroll accuracy, efficiency, and effectiveness. 
  • Any other duties and responsibilities that may be assigned from time-to-time.   

 

RELEVANT SKILLS 

  • Excellent inter-personal skills, is able to communicate, interact and work with employees at all levels,  
  • Able to communicate well and build strong working relationships with his/her hiring managers, departmental people leaders, team members, among others. 
  • Also required competencies in the field of up-to-date statutory process & policies related to payroll functions for the company. 

 

A BIT ABOUT YOU 

  • Ability to handle confidential information.  
  • Strong interpersonal and consultative skills  
  • Excellent organizational and multi-tasking skills; detail-oriented 
  • Proficient in Microsoft Office (Word, Excel) or equivalent software desired  
  • Proficient user of Timekeeping and Payroll software; Microsoft PowerPoint 
  • Ability to interpret data, detect trends, draw conclusions and formulate recommendations. 
  • Demonstrated ability to adapt practices and techniques to changing priorities and issues. 
  • Ability to work under pressure and make decisions.
